Terms and conditions for booking spaces in Dunelm House

When your group books space in Dunelm House or other University-managed spaces, there are a few important conditions you need to follow. These help keep everyone safe, ensure spaces can be shared fairly, and protect your group’s ability to book rooms in the future.


FILM AND TV SCREENINGS

If you plan to show a film or TV programme in Dunelm House or any University space, you are responsible for ensuring the correct licences are in place.

Neither the Students’ Union nor the University holds copyright licences that cover student group screenings. This means your group must obtain the appropriate copyright licence for the specific film or programme being shown, even if the screening is free or only open to members.

Dunelm House and University spaces already hold a premises licence for film screenings. However, proof that you have purchased the required copyright licence must be provided at least one week before the event. If this cannot be confirmed, your room booking may be cancelled.

FOOD AND DRINK

Food and drink are not permitted in University teaching rooms. This rule is strictly enforced. Groups found to be breaking it may be banned from booking University rooms for up to two years.

If your activity involves food or drink, you must use:

  • Dunelm House hard-floor spaces, or

  • an external venue


Food and drink are permitted in Dunelm House's hard-floor spaces, provided the following conditions are met:

  • Tables must be protected using coverings supplied by your group.

  • All rubbish must be removed and disposed of in bins before you leave.

  • Rooms should be well ventilated before departure, particularly where hot food has been consumed.

Failure to follow these conditions may result in cleaning charges and suspension of future booking privileges.


ALCOHOL

Alcohol cannot be brought into Dunelm House, as it is a licensed premises.

Any alcohol brought into the building without prior agreement may be confiscated. Where alcohol has been agreed in advance, it must be declared and stored at reception during your activity.

If your group would like the Students’ Union to provide alcohol as part of an event, this must be discussed before arranging your room booking. Not all events can be supported, and charges may apply.


GENERAL TERMS

To ensure fair access and smooth running of the building:

  • Your booking must end on time. Rooms should be completely empty, tidy, and safe by the end of your allocated slot.

  • Please allow time to finish and vacate promptly so the next group or building staff can access the space.

  • If your group no longer needs a booking, let us know as soon as possible so the space can be released to another group.

  • During normal teaching hours, student group use of rooms is not guaranteed. If an academic arrives with a timetabled teaching session, they take priority and your group must vacate the room.

  • Always check your booking details carefully, particularly for regular bookings, as there may be missing weeks or changes to room allocations during the term.

Repeated issues with late departures, misuse of space, or failure to follow these conditions may affect your group’s ability to book spaces in future.
