How Do I Book A Room In The SU Or Elsewhere On Campus?

All of our student groups can request a space in the SU building, during term time, free of charge. We make room bookings termly, and we will send out a link to a Microsoft Form in our regular Student Group Emails towards the end of each term for your group to request spaces for the following term. During the holiday period before each term we take the submitted requests and put them into our room booking system, we do our best to be fair, trying to give each group equal time in the best spaces suited for your activity and expected numbers. If your group can be flexible with the day / time / room required then the better chance we have of being able to accommodate all requests. 


We do have limited space for "active" groups, and general space during the day as a lot of our rooms are used for lecture space so please think about the number of hours you are requesting the Ballroom and Vane Tempest for as these spaces need to be shared between all of our active groups. 


Once the bookings are in the system, we will let groups know that all of the requests are booked in, your group can then log in at any time to confirm, cancel or view which rooms you have booked. Submitting a request is also not a guarantee of a booking, you will need to wait until we have confirmed that all of the requests are in the room booking system, then you will need to log in and confirm your bookings to accept them. 


We do also make ad-hoc bookings during term-time too so if your group missed the deadline to submit the request form, or needs some additional space then please email our ASK Assistants on ask@durhamsu.com and they will let you know what spaces are still available and help make the bookings for you. 


There is also a small range of equipment which can be requested to be used in our spaces via the equipment request form. This includes extra chairs and tables, hot water urns, Square card readers and some sound equipment.  Equipment is allocated on a first come, first served basis so please make sure to submit the request form well in advance of your activity so we can make sure the equipment is available. All equipment should also be cared for then returned to it’s proper storage space, on-time, as failure to do so may result in hire / damage charges for your group. 


UNIVERSITY ROOM BOOKINGS

Student groups can also request to use spaces within University buildings too, please note that food and drink are not allowed in their spaces so if you want to have an event or activity with food and / or drinks then you will need to use either a room in the SU building, or an external building. If a group is found to have food or drink in University spaces then you could be banned from being allowed to book rooms with them for up to 2 years. 


Before you can book any University rooms you will firstly need to complete a short online training module, once complete you will then have access to request their rooms, you can find a link to the room booking training, and the student room booking form here
