How To Gain Access to A Dormant Shared Mailbox

We ask that all our student groups use a Durham group email address so that students, members and/or the SU staff team can contact the group without having to use the exec’s own email addresses. If you haven’t been handed over the shared mailbox from the outgoing exec, or if you have reinstated a dormant student group, the first port of call should be finding out whether the old student group mailbox is still active or not. 

The University CIS team manage all email accounts (not the ASK Team), so the president of the society will need to get in touch with CIS to enquire if the account is still active, and if so, arrange for you and the rest of the executive committee to be given access to it. Before contacting CIS, ensure that you have the usernames of all the exec which are to be given access to the mailbox and you know who is your SU authoriser. 

There are many ways to get in touch with the IT Service Desk for assistance, for example:

• Self Service Portal: If you already have Durham University login details, you can report a problem and view the progress of your existing calls that are under your name through the Self-Service Portal.

SU Authoriser:

In your request, let CIS know who is your authoriser from the list below. This should be your group's specific lead SU coordinator. They will be the one who sends you regular emails and the termly exec updates and mainly responds to your tickets submitted via ASK SU. If in doubt, please contact ASK SU.

If the account has been deactivated, then you will need to request to set up a new account and follow the details outlined in the “How to Request a New Shared Mailbox” section.
