What To Include in the Secretary’s Report at an AGM

The secretary report is concerned with all admin affairs of the group and ties up any outstanding administrative tasks for the end of the year.

With the above in mind, your report might include:

  • A memberships numbers update – starting number, total new memberships this year, total expiring memberships
  • Reminder to the members of the membership expiry date (30 September) and encouragement to purchase new memberships before returning to University
  • A summary of the elections held throughout the year
  • A look back on the GMs held during the year
  • Reminder to submit all expenses requests before end of year
  • Confirm social media accounts for members to follow, mailing lists and group email address for members, plus the exec’s preferred method of contact
  • Upcoming and key dates to remember – are the exec ‘out of office’ over summer? When will activities recommence?
  • Any other outstanding admin business
