DUNLEM HOUSE ROOM BOOKINGS
Registered student groups can request rooms and spaces in Dunelm House during term time, free of charge.
Termly room requests
We allocate SU-affiliated student group room bookings on a termly basis.
Towards the end of each term, we will send a Microsoft Form through our regular Student Group Emails for our groups to request rooms for the following term. This is the best way to request regular or recurring space.
During the holiday period, we review all of the requests received and allocate the available rooms. We aim to make allocations as fairly as possible, taking into account:
- the type of activity taking place
- the number of people expected to attend
- which spaces are suitable for the activity
- the overall demand for each room
- the amount of space each group has already been allocated
The more flexible your group can be about the day, time or room requested, the more likely we are to be able to accommodate your request.
Some of our spaces are particularly limited. The Fonteyn Ballroom and Vane Tempest Room are in high demand from groups whose activities require larger or more suitable activity space, so these need to be shared fairly between groups.
Availability during the daytime can also be limited because a number of rooms in Dunelm House are used for University teaching.
Submitting a termly room request does not guarantee that a booking will be made.
Once we have finished allocating requests and adding bookings to the room booking system, we will let student groups know via confirmation emails to their group's shared mailbox.
Ad-hoc bookings during term / Non-SU affiliated groups
You can still request space during term if:
- you missed the termly request deadline
- you need a room for a one-off event or activity
- you need additional space that was not included in your original request
- you are a student group affiliated with a university department (e.g. DUSVO, DST etc.)
You can submit an ad-hoc booking requests through the Durham SU room booking platform.
Ad-hoc requests are subject to the space remaining available after termly bookings and University teaching have been added.
Booking equipment
We also have a small range of equipment that student groups can request for activities taking place in our spaces, including:
- additional tables and chairs
- hot water urns
- Square card readers
- some sound equipment
Equipment is limited and allocated on a first come, first served basis, so please request anything you need well in advance either through ASK SU or on the booking notes when using the room booking platform.
Groups are responsible for looking after any equipment they borrow and returning it to the correct storage location on time. Charges may be applied where equipment is lost, damaged or not returned as agreed.
Before making a booking
Please read our terms and conditions for booking spaces in Dunelm House.

UNIVERSITY ROOM BOOKINGS
Student groups can also request to use spaces within University buildings too. Please note that food and drink are not allowed in their spaces so if you want to have an event or activity with food and / or drinks then you will need to use either a room in Dunelm House, or an external building. If a group is found to have food or drink in University spaces then you could be banned from being allowed to book rooms with them for up to 2 years.
Before you can book any University teaching rooms you will firstly need to complete a short online training module. Once complete you will then have access to request their rooms for that academic year. You can find a link to the room booking training, and the student room booking form here.
For booking non-teaching spaces on campus, you may need to contact either:
- Event Durham at event@durham.ac.uk (for things like stalls near Billy B etc.)
- Team Durham at teamdurham.bookings@durham.ac.uk (for Maiden Castle spaces)
- The college common room or reception for college spaces
